If you manage your Amazon finances solely by looking at the high-level summary charts on the Seller Central homepage, you are flying blind.
The homepage tells you what customers bought. It tells you nothing about what Amazon actually deducted from your payouts.
To understand your real accounting numbers, you must learn to read the Date-Range Financial Report. Here is the 10-minute protocol to download, filter, and audit your statement like a forensic accountant.
Step 1: Generating the Clean Transaction Report
- 1Log into Amazon Seller Central.
- 2In the top navigation, go to Payments $ o$ Payments.
- 3Click on the Date Range Reports tab.
- 4Click Generate Report.
- 5Select Transaction (NOT Summary!).
- 6Select Custom Date Range (e.g. 1st of the month to the last day of the month).
- 7Click Generate and download the resulting
.csvfile.
Step 2: The 8 Columns That Actually Matter
When you open the CSV in Excel, ignore the 30 distracting columns. Focus on these core fields:
- 1
type: The transaction category (Order,Refund,Service Fee,Adjustment). - 2
order id: The 17-digit customer order ID. - 3
product sales: The gross selling price paid by the customer. - 4
selling fees: The Category Referral Fee + Closing Fee deducted by Amazon. - 5
fba fees/other transaction fees: Weight handling freight and pick & pack charges. - 6
other: Promotional rebates, gift wrap, or misc charges. - 7
total: The net cash credited or debited to your seller balance for this row. - 8
tax collection model: Identifies marketplace tax withholdings.
Step 3: The 3 Instant Pivot Table Health Checks
Create a quick Pivot Table in Excel with type in Rows and total in Values:
- Check 1: Refund-to-Sales Ratio: Divide total Refund amount by total Order amount. If refunds exceed 15% of gross sales, your catalog has a critical quality or sizing mismatch.
- Check 2: Selling Fees Ratio: Selling fees should sit between 12% and 18% of gross product sales. If this ratio exceeds 22%, your items are either miscategorized or falling into Closing Fee dead zones.
- Check 3: Service Fee Leakage: Sum the
Service Feerow. This includes monthly subscription charges, storage fees, disposal fees, and barcode labeling penalties.
